Read the access description

Task, category and folder sharing show an access description beside each role. Use that description to choose the permission needed for the work. Task Maps use separate Viewer and Editor roles.

Can view onlyRead the shared work. Content-editing controls remain unavailable.
Can view and editChange content where the resource permits it. Deleting is a separate permission.
Can view, edit, and deleteIncludes removal of the resource where the interface offers it; review deletion confirmations carefully.

When an action is disabled

  • Check your role on the item.
  • For a bulk action, check every selected task; one read-only item can disable the change.
  • Ask the owner for the access needed to do the work.
  • Reconnect if the action changes permissions or membership.

Why a shared task cannot change category

In the current web interface, a task received through sharing stays in its existing category. Editing access does not let a recipient move it into a personal category. Ask the owner to reorganize the task when needed.

A shared task’s creator, owner and current collaborators can be different people. The Created by label identifies who created it; it does not determine your permissions.

Maps and tasks have separate access

A shared map can contain tasks you cannot read. The map should not reveal restricted task details merely because you can view its layout. Task sharing must grant the underlying access separately.

Offline access has limits

Previously available content may be cached for reading. Permission and membership changes require a live connection; cached visibility is not a guarantee that access is still current.
