A tag view showing related tasks with their tree context. Example data.

Create and apply a tag

  1. Open Tags and create a tag with a short, reusable name, such as “Deep work.”
  2. Choose a color that helps you recognize it.
  3. Open a task’s Tags control and select the tag.
  4. Open the tag view to see matching work across categories.

Create a tag while editing a task

Search for a tag in the task’s Tags picker. If no existing tag matches and you have editing access, choose Create “name” to create and apply it. Check the spelling first to avoid near-duplicate tags.

This explicit Create control is different from typing @name into quick entry: quick entry recognizes existing tags only.

Choose categories and tags for different jobs

A category answers “Where does this task belong?” A tag answers “What else does this task have in common?” A task can have multiple tags while staying in one category.

For example, Personal and Work can be categories, while Calls and Deep work can be tags used in both.

Change or remove tags

Use the tag control to remove a tag from a task. Manage the tag itself from the tag list when you want to change its name or color. Read-only sharing permissions may prevent changes.

On mobile

More → Tags manages your tags. The Tasks view can filter by a tag, and the task editor can change its assigned tags.
